Why did QuickBooks reject my transaction file?
Check your QuickBooks edition, Web Connect bank ID, CSV columns and overlapping transactions before retrying a rejected bank transaction import.
By FilesToQBO · Reviewed . Menu labels and supported workflows can change; check the linked Intuit instructions for your edition.
Check the edition and import workflow first
A file accepted by one QuickBooks workflow may be rejected by another. Desktop Web Connect expects QBO. Online accepts transaction lists including QBO, QFX and CSV. IIF uses a separate Desktop import. Compare the formats before changing your file.
“Unable to verify financial institution” or a Web Connect error
- Back up your Desktop company file and confirm that your QuickBooks version supports Web Connect. Sign in to your Intuit account when required.
- Check that you are importing a QBO file. Renaming OFX or QFX does not rewrite missing Web Connect fields.
- Check bank notifications and your financial institution’s Web Connect support. A converter’s default bank ID cannot guarantee acceptance.
- Follow Intuit’s Web Connect troubleshooting steps, including testing in a separate company file if needed. If a bank-provided file also fails, check with the bank or Intuit before repeatedly importing.
For an OFX or QFX source, use OFX to QBO or QFX to QBO to generate the file and inspect the preview. Verify the destination account when QuickBooks opens it.
CSV columns, dates or amounts are rejected
Use a consistent date format and map Date, Description and Amount, or separate Debit and Credit columns. Check whether purchases are negative and payments positive. Follow Intuit’s current Online file guidelines for upload size and transaction limits.
The CSV converter provides a QuickBooks Online CSV download. Review its rows before uploading; converting a file does not fix incorrect source transactions.
An import appears twice or overlaps your bank feed
Check the statement and existing register before adding more transactions. Match entries that already exist rather than recording them again. Stable transaction IDs can help identify repeat imports, but edited data or overlapping feeds can still produce duplicates.
Use Intuit’s duplicate-transaction guide to decide which entries to match or exclude. Do not change IDs just to force a second import.
PDF extraction fails before you reach QuickBooks
The FilesToQBO beta reads text-based USD statements with labelled transaction columns. Scanned, image-only and some complex layouts are unsupported. Use a bank CSV or QFX export when available. For a supported PDF, check the extracted rows and balances in the PDF converter; a matching balance alone does not prove that every row is correct.
