Import bank transactions older than 90 days into QuickBooks

QuickBooks bank feeds often bring in only about 90 days. Work out a date range that stops before the feed, split it into monthly batches and import older exports or PDF statements without duplicates.

Why the bank feed stops at about 90 days

When you connect an account, QuickBooks receives only the history your bank releases through the connection, commonly about 90 days. Some banks offer up to 24 months and a few offer less. That is a limit of the connection, not of QuickBooks: you can still add older transactions from files.

1. Find where the feed begins

In the account’s bank transactions, sort by date and note the earliest transaction the feed brought in. Your file must end the day before that date. An overlap is the most common source of duplicates in this job.

2. Get the older history from the bank

  • Download options. Most bank websites let you choose a date range and a format: QuickBooks (.qbo), Quicken (.qfx), OFX or CSV. Banks often allow a longer range for CSV than for QuickBooks downloads.
  • Only statements are available. Closed accounts and older years are often available only as PDF statements. A text-based PDF can be converted to QBO or CSV and checked against the opening and closing balances. Scanned statements need the bank to supply a text version or another export.

3. Convert to the file your QuickBooks takes

4. Upload in batches you can check

  1. Split long histories into a month or a quarter at a time. Small files stay within Intuit’s upload limits and are easier to compare with a statement.
  2. In QuickBooks Online, use the Link account menu › Upload from file and choose the same account the feed uses. In Desktop, use Banking › Bank Feeds › Import Web Connect Files and choose “Use an existing account”.
  3. Review each batch under For review. Match or exclude anything you already entered by hand before adding the rest.
  4. Reconcile each month against its statement before uploading the next one.
