QuickBooks Online won’t accept my bank CSV

Check a bank CSV in your browser for the problems QuickBooks Online rejects: summary rows, missing or extra columns, $ and comma amounts, bracketed negatives, mixed dates and size limits.

Check the file first

Most rejected uploads come down to a handful of problems in the file itself. Run your CSV through this check to see which ones apply, with line numbers, before you edit anything.

Check your CSV before uploading

Drop the bank CSV you plan to upload. It is checked in your browser against the problems below and never uploaded.

Use the column layout QuickBooks expects

QuickBooks Online reads bank CSVs in one of two layouts. During upload you tell it which one your file uses, so the file must match.

CSV layouts accepted by QuickBooks Online bank uploads
LayoutColumnsExample row
One amount columnDate, Description, Amount01/15/2026, HOME DEPOT, -42.50
Two amount columnsDate, Description, Credit, Debit01/15/2026, HOME DEPOT, , 42.50

Remove columns QuickBooks does not need, such as running balance, category or check images, and give each remaining column a plain header on the first row.

Fix the rows QuickBooks cannot read

  • Extra rows. Many bank exports add account details, “Beginning balance” lines or totals above or below the transactions. Delete everything that is not a header or a transaction.
  • Amounts. Remove currency symbols and thousands separators: write 1234.56, not $1,234.56. Change bracketed negatives such as (234.00) to -234.00.
  • Dates. Use one format for every row and pick the same format in the upload screen. A file that mixes 1/5/2026 and 2026-01-05 will fail or import the wrong dates.
  • Special characters. Symbols in descriptions can block an upload. Find and replace them before saving.
  • Hidden formatting. If the file still fails, paste the data into a blank spreadsheet as plain values and save it as CSV again. On a Mac, save as a Windows-compatible CSV.

Two limits that look like errors

  • Money out only. A two-column file whose period has only debits can be rejected. Use the one-column layout with negative amounts instead.
  • Subaccounts. QuickBooks Online cannot upload transactions to a subaccount. Upload to the parent account, connect the subaccount to a bank feed, or enter the transactions manually.

Skip the mapping step

QuickBooks Online also accepts QBO Web Connect files, which carry dates, payees and signed amounts in fixed fields, so there are no columns to map. Drop the original bank CSV into the CSV to QBO converter: it detects the date format and the amount or debit/credit columns, shows a preview, and lets you download either a .qbo file or a cleaned QuickBooks Online CSV. If your bank only gives you a PDF statement, extract it first. To check a QBO file before uploading, open it in a spreadsheet with QBO to CSV.

Whichever file you upload, review the transactions under For review before adding or matching them.
